This is a starting template, not legal advice. Have a qualified attorney review it for your jurisdiction and use case before signing.
A coaching contract template gives life, business, career and fitness coaches a clear written agreement with every client. It sets out what the program includes, how sessions are booked and cancelled, what the client pays, and what coaching is not, before the first session starts.
Disclaimer: This template is for general information only and is not legal advice. Adapt it to your jurisdiction and coaching niche, and consult a lawyer before relying on it.
What Is a Coaching Contract?
A coaching contract (also called a coaching agreement) is a service agreement between a coach and a client. It records the coaching program, the number and length of sessions, whether they happen online or in person, fees and packages, scheduling rules and the limits of the coach’s role. A signed agreement protects the coach’s time and income and gives the client a transparent picture of what they are buying.
If you teach a specific subject rather than coach toward personal goals, the tutoring agreement template may fit better. If you advise businesses on a project basis, see the consulting agreement template.
Key Clauses in This Coaching Agreement
- Program & Sessions — Program name, number of sessions, session length and program dates.
- Format — Online (with the platform named) or in person (with the location).
- Fees & Packages — Program fee, payment schedule and payment method.
- Scheduling, Cancellation & Rescheduling — Notice periods and what happens to late cancellations and no-shows.
- No Guarantee of Results — Outcomes depend on the client’s effort and circumstances.
- Not Therapy, Medical or Legal Advice — Coaching does not replace licensed professionals; fitness clients confirm medical clearance.
- Confidentiality & Recordings — Information stays private, and sessions are recorded only with consent.
- Refunds — Your refund policy, subject to mandatory consumer law.
- Term & Termination — Notice period and payment for sessions already delivered.
How to Customize This Template
- Name your niche — Replace the coaching type (life, business, career, executive, fitness, online) and write goals in the client’s own words.
- Describe your packages — State exactly how many sessions are included and when unused sessions expire.
- Set a fair cancellation window — 24 to 48 hours is common; make sure your booking tool applies the same rule.
- Write a clear refund policy — Say whether package fees are refundable, pro-rated or credited, and remember that consumer law may give clients extra rights.
- Check local rules — Distance-selling, consumer and data protection laws vary. Some countries also regulate structured online learning programs, and health-related coaching may overlap with licensed professions.
